Hosting our first invitiational and are welcoming 600 athletes. I have to set up/run a concession stand. Grilling hot dogs, brats and hamburgers. Any ideas on how much I should purchase initially?
Get in contact with the manager of a big local supermarket, let them know about the fundraiser purpose, hint toward a donation price for items in exchange for site advertising, ask if you can use a running charge, and use them as your supply outlet. If this works out, make sure one of your concession sign-ups is in charge of inventory and "gopher" duties. In the end you should have minimal leftovers. Make sure that you mention everything from charcoal to napkins on your needs list.
You'll be surprised how a local grocer will accommodate your needs.
Watch the weather reports, if you are going to have a really nice weekend lots of Gatorade and water. If its going to be cold and miserable lots of coffee and hot chocolate.
If you will be going to the store throughout the week-end it will make it much easier as far as storage of meat. Hamburgers tend to go really fast. We always bought the sirloin burgers @ Costco. They're frozen and in a stack so buy as many initially as you can store in freezer. What really makes the hamburgers great is lots of fresh condiments like tomatoes, onions, pickles, etc. It's more work but well worth it.
