TRhit...you have a PM
I took it upon myself to see who was really interested after our discussion in the chat room the other day.
Instead of having two threads going thought that I would kind of get it into one thread, then I stated that someone could take the ball from there. People were throwing out suggestions, thought I might kind of zero in for y'all. Thanks to those who sent pm's thanking me and letting me know what's up.
Appears that much interest for attending comes from the mid states area and headed west. The websters from Illinois that sent me pm'ssay Vegas is ok. Las Vegas is the fav spot mentioned by most. A few said they don't care where it is. Though a few mentioned Florida, Atlanta, Myrtle Beach, knoxville (lots ) and then I see Bear with Cherry Hill. You first all have to decide what time of the year is best before you proceed. Plane travel is tricky during the snowy months and expensive during season.
So there ya go, with that someone can get the ball rolling if you all are really interested. Personally if a majority wants out west and those are the ones who will be attending, go for it. However as one webster pointed out, closer isn't always cheaper. If you all decide on a mid point that's great too and I agree teh location should be based on who actually would go. I think where you decide in the end will determine who will come and not come.
Why don't you set up a chat time this week and have all interested come and decide instead of the going back and forth? You can get everyone's feedback all at once.

Thanks for the offer...but would you kindly remove your hands from my horns?
Bullwinkle--I don't touch horns
If there is interest, I can see what I can do at Sunset Station in Henderson, NV - link for Sunset Station - greater Las Vegas area. I work there. Available are meeting rooms, blocks of hotel rooms, banquet and catering.

YourBasicMom....how far is Henderson from Las Vegas? More particularly...from the Strip? From the map, it looks fairly close.
Look, I don't see this as a once in a lifetime event or an annual event. It can occur in many places over the course of the next year and those that can attend an announced event at some venue can do so without any hurt feelings. I got a sense one already happened last year, impromptu at Stanford when many websters got together and they were not all from the west coast. What we need is leadership. Tr offered and he has now dropped out.
There are many ways to skin this cat without requiring rocket science. Yourbasicmom has just proposed a plan that sounds like a good one to me. Henderson is a beautiful Las Vegas suburb. Why Las Vegas? Because it is cheap to fly to, and there are activities to do if you cannot talk baseball for 24 hours a day. Many people have already expressed a preference for this city so it would serve many on this site.
I say we hear Yourbasicmom's plan and see if anyone would like to attend sometime in January.

A couple of quick tips . . .
The time of year is an important factor to consider. For the newcomers, those that want to gain a better grasp on the "how to's" of college recruiting, it may be late summer or Fall. Afterwards, these folks will have gained the knowledge to help their ball players find a college. For those that have been there and done that, it may be Winter, when baseball has taken a short siesta.
It is probably a two day affair, all day Saturday and most of Sunday.
Where will be the key to a sure early success. While I like Las Vegas, in year number one this group would draw a bigger crowd somewhere else. Common sense says to begin in an area where many of the websters live within a reasonable driving distance. As time goes on, and this convention gathers steam, it could then move anywhere.

YourBasicMom,
I would be open to any location around the country, but with quite a few people expressing interest in Las Vegas, your offer certainly caught my attention. The hotel looks nice and very reasonably priced, offers an onsite casino and concerts, and provides shuttle service to the airport and to the strip. If we do end up meeting in Vegas, I think it would be great to have a "local expert" available to help with reserving a meeting room or similar details. Thanks!

Spent a few days at Sunset station (saw "Yourbasicmom" in passing but she was working so we didn't get to chat). The rooms at the hotel are very very nice. The casino is nice, too, and I believe it even has a few Wheel of Fortune machines for those so inclined The strip isn't that far away, tho traffic can be a bit of a hassle but then where isn't there traffic? Even downtown is fun ... especially at night when the light shows occur.
If I were inclined to go to a convention of this sort, in the winter or early spring, one of the warmer climes would seem easier to deal with, whether FL, AZ, NV, or CA. Spring training has little activity till mid-March, so that is a consideration since baseball is in full swing for college players and their adoring fans.
Just some thoughts ...

For January in Las Vegas, it would have to be the dead weekend right before super bowl, the 28th/29th. The reason is that it's busy for playoff weekends. I can inquire about price of a meeting room at my casino if you're interested and just because the price would be less because of my discount. I have no idea of the cost of meeting rooms at any of the hotels. Hotel rooms can be booked all over town, wherever you like. No matter where you want to stay, it's tough to get around without a car because the alternative is city bus, or spendy taxi cab. I'm not pushing my place, Sunset Station, just suggesting it as a nice place to stay, and I will help any way I can with reservations.
The 28th and 29th sounds like a good weekend before the superbowl and a month after the holidays. YBM lets hear the full plan. Group discount or convention rates a possibility? Would we need to create a fund to get a banquet room or is this something you can arrange? Does your hotel offer package arrangements with the airlines? I just may be out that weekend anyways and will stop over at your table to play some black jack and talk some baseball
Yourbasicmom.....do you give "gaming" lessons??!!
Hello all, what I am able to determine up to this point is - a discounted room rate the weekend of Jan 28 is $89/night and the cost of a meeting room discounted to around $350 Beverage and/or food service in this room for that day is another added cost - also discounted. What is a fair price for each of us to pay? How is participation determined?
Gaming advice -- it's free. Play for fun. Don't play expecting to win
(We have a poker room with a 2-4-6 game)

Thr $89 a night is very good. I was very impressed with the room we had when Marv and I were staying there.
As far as cost per person, I am guessing that would require some more details as to what would be happening, if anyone is going to set up a "booth" (not literally ... just figuratively for product guys like Gloveman or anyone who would be promoting gear etc), are you going to have some kind of discussion panel, speakers, etc. Would it be possible to try and get some coach, perhaps college and/or JUCO level, to address some concerns etc ? Just throwing out sone thoughts as to factors that would go into the final cost and the determination of a reasonable fee.

Let's be clear here Rizzi,
There is absolutely no contemptuous motives from my direction! And it is NOT I who is the cynic here. (and I take exception to your implications regarding my scruples for others.)
And as such, your contempt for acceptable standards of honestly and morality of actions follows you among view points of travel coaches and tourney directors from Maine to Ohio to Va and growing!
As a fellow Scotsman said:
The greatest of gifts that God can give us, is to see ourselves as others see us.
We will pray for you.
